Here's a quick look at Top Lead Recovery. This is the real workspace, using sample records. It gives your team one place to review opportunities, customer replies, quotes, and the next step.

Start with Opportunities. You can see the original service, estimated value, status, and follow-up note. Open a record to check its source and contact details. Your team decides whether it is ready for outreach. These rankings use rules, and a review never sends a message.

Bringing in existing records? Choose your file, confirm that the business can use those records, and review the import first. The preview flags additions, matches, duplicates, and opt-outs before anything is added.

When a customer replies, read the message in the inbox. Follow-ups pause while a person reviews the conversation. Here, we're editing the response ourselves. Then we open the exact preview to check the recipient, subject, and message. Sending is a separate approval step. Nothing is being sent in this sample.

Quote Drafts keeps the customer, price, project title, and scope together. Your team supplies and checks those details. Review an existing draft, or prepare a new one. Saving a draft doesn't turn it into an approved estimate or send it to the customer.

Back on Home, the sample action cards bring the next step into view. The calendar lets you review an appointment and its details without hunting through separate notes.

Phone answering, text messaging, and connected services need setup and activation for your business. This sample shows the workflow; it doesn't mean those services are already running.

02 / Get started

Start in the right place.

iPhone & Android app

Try the guided introduction.

  1. Open Home → Help & FAQ.
  2. Choose Replay walkthrough for the guided introduction, or Tools guide to find a tool.
  3. In Lead Review, choose Insert example to practice with fictional records.

Local examples stay separate from the web workspace. Web tools open in your browser and require their own sign-in.

Web workspace

Check your business setup.

  1. Sign in to your workspace and choose the correct business.
  2. Open Business setup and review your saved business details.
  3. Check the connection and activation status before using phone, calendar or email services.

Available actions depend on your role, service plan and completed setup. Opening a tool does not activate a service.

03 / Do the work

One task at a time.

These instructions cover the protected web workspace. Your app's Tools guide shows which tools also work directly on your device.

Lead Review

Bring in records and check them.

  1. Open Import and map leads and select a CSV from your CRM or spreadsheet.
  2. Match the source columns and review the preview, including duplicates and conflicts.
  3. Confirm you are allowed to use the records and can identify opt-outs before adding them.
  4. Open Lead Review to inspect the records and decide the next step.

Importing or reviewing leads does not send a campaign.

Daily actions

Keep follow-up work visible.

  1. From Home, open Daily actions.
  2. Filter by your tasks, unassigned work or due date.
  3. Open the linked conversation or appointment to review its details.
  4. Use Add reminder to assign the next step and a deadline.

A completed reminder records your team's work. It does not confirm a payment or attendance.

Customer Reply Inbox

Read first, then respond.

  1. Open Customer Reply Inbox and select a reply.
  2. Read the original message and linked conversation, then confirm its category.
  3. Write or edit your response. Check the recipient, facts and any quoted price.
  4. Use the available preview and approval steps before sending.

Respect opt-outs. Reviewing a reply or saving a draft does not send it.

Quote Drafts & Quote Follow-up

Review the offer before following up.

  1. Choose the correct customer and record the scope, amount, currency and dates in Quote Drafts.
  2. Check those details against the original estimate.
  3. Use Quote Follow-up to prepare the next message and, if appropriate, a separate offer.
  4. Review eligibility, the exact message and any offer before approval.

A draft or follow-up offer does not replace the original estimate automatically.

AI Receptionist & Appointment Booking

Check what happened after the call.

  1. Confirm your business's phone and booking services are activated.
  2. Review the saved call information and any summary.
  3. Verify the linked customer and requested next step.
  4. Open the web calendar to check appointment details and status.

Check the original record when a summary is unclear. A saved appointment does not confirm attendance or payment.

Results Tracker

Record outcomes you can verify.

  1. Open the relevant customer or opportunity.
  2. Record a reply, appointment or won job only when your team can confirm it.
  3. Review the recorded outcomes in Results Tracker.
  4. Keep won-job value separate from invoices and money collected.

Recovery Calculator is a planning tool using your assumptions, not a revenue prediction.

04 / AI tools and monthly allowances

Get a suggestion, then review it.

These tools require eligible monthly access, workspace activation and remaining allowance. Owner or manager access is required for drafts, imports and website setup. Sign in to the correct web workspace first. A subscription or a link in the app does not automatically activate every service. If a tool is unavailable, use Support requests to ask about access.

For eligible, activated monthly workspaces, Basic includes 100 AI reply drafts, 20 pasted-text estimate imports, 5 PDF estimate imports and 200 website answers per billing period. Pro includes 300 AI reply drafts, 60 pasted-text estimate imports, 15 PDF estimate imports and 600 website answers.

These counts are separate from the AI voice-minute and SMS allowances. Counts reset with a new paid monthly billing period; unused counts do not roll over. Pending requests count against the allowance. No automatic AI overage purchases. An eligible active plan, workspace activation and remaining allowance are required. Phone, messaging and integrations still require their own configuration and tests. You do not need your own OpenAI account or API key, and these four AI allowances do not require a separate credit purchase.

The video above shows the core workspace. The guides below cover the newer AI tools.

AI Reply Assistant

Draft a reply from the saved conversation.

  1. Open Customer Reply Inbox and select a saved customer reply.
  2. Read the original message and linked conversation. Select an eligible original quote only if you want it included.
  3. Read the OpenAI disclosure, then choose Draft with AI.
  4. Check the suggestion against the original records. Edit any facts, prices or commitments before saving a review.
  5. To send a response, use the separate Preview exact response step and approve the final recipient, subject and message.

AI drafting replaces the editable response. It does not save or send the reply automatically. An unavailable allowance or a usage limit leaves manual reply review available.

Estimate Importer

Turn an estimate into fields you can check.

  1. Open Quote Follow-up and find Estimate Importer.
  2. Select one original PDF of up to 6 MB, or choose Pasted email text and paste the estimate text.
  3. Confirm that you may share the estimate with OpenAI, then choose Extract for review.
  4. Compare the suggested ID, amount, currency, dates and scope with the original estimate. Correct omissions or errors.
  5. Choose Review fields and choose customer, select the existing customer, and review the original quote record before saving it.

The importer does not read your mailbox, create a customer or approve an estimate. Saving a reviewed quote is a separate action; no follow-up message is sent.

Website Lead Assistant

Answer visitors from approved public facts.

  1. Open Account & team in Settings and find Website Lead Assistant.
  2. Enter the public business name, services, service area and hours. Add optional question-and-answer pairs. Leave private customer details and secrets out.
  3. Check every fact and the sharing disclosure. When ready, select Enable the public assistant, confirm publication and choose Save public facts.
  4. Open the public assistant link and check its answers. Add the provided link or optional embed code to a page you control after reviewing your visitor privacy notice.
  5. Open Lead Review to review incoming records marked Needs review, with source Website Lead Assistant. Check the visitor’s requested next step before contacting them. To stop the assistant, clear the enable option and save.

The assistant can answer from approved public information and collect a callback request with consent. It cannot read private customer records, send marketing or confirm appointments. Changing its configuration ends existing visitor sessions.

05 / When you need a hand

Common questions.

Why does a tool open in my browser?

Some tools run in the protected web workspace. Your device's local records and browser sign-in are separate. Check the business workspace shown after signing in.

Why is an action unavailable?

Check your role, business setup and connection status. Some actions require an owner or manager, an activated service, verified sender details or completed approval checks. AI reply drafts, estimate imports and website answers also require activated monthly access and remaining allowance. Ask through Support requests if you need help with access.

Does using AI send a customer message?

AI-generated suggestions require review. Reading a summary or generating a draft does not approve or send a customer message. Use the separate preview and approval controls when they are available.

How do I report a problem?

Use Support requests in your web workspace, or open Support & feedback. Include the tool name and the error shown. Do not include passwords, API keys or private customer records.
